Welcome to Oakwood Beach Club, Baldwin Harbor’s neighborhood pool by the bay!

 To help insure an enjoyable, safe, and memorable summer for you and your family, the Oakwood Board of Directors has prepared this introduction to our club, and its rules & regulations, for your convenience.

 Oakwood is run by and for its members, and the safety and well being of our families and guests is always first and foremost.  We hope that you will enjoy your time with us, and that you’ll return every summer to be a part of the Oakwood Family.

 Oakwood History

 Oakwood Beach Club opened in 1962, as a beach club, on one of the most beautiful bay front properties on the south shore.  At that time, there was no pool, only a roped area in the bay for swimming, with a floating dock for diving.  Many of us can remember wading through the “muck” (that was the official name for the bottom of our bay) to reach the float, and spending hours playing in the water.  Horseshoe crabs and jellyfish were everywhere, and became legendary on our beach.

Two years later, 275 families contributed $450 each, and the dream of a pool for Oakwood was realized.  The original 275 families received a charter membership.  Thereafter, new members paid a $2,500 initiation fee!

There was a two to three year waiting list for membership, which was limited to a small area in Baldwin Harbor only.

Today, Oakwood is open for membership to all of Baldwin and the surrounding communities.  We still enjoy our bay views, but due to wetlands erosion and environmental concerns, the only swimming we do is in the pools.  The bay and its protected wetlands have seen the reappearance of many species of birds and aquatic life that were quickly disappearing, and we can all enjoy the spectacular vistas from our lounge chairs.  It’s still the best view on the south shore, and we’re proud to be able to share it with our members.

Events at Oakwood

There’s always something going on at Oakwood.  We try to plan a full schedule of enjoyable family events, special events for children, and adult entertainment.  We encourage all of our members to participate in the life of the Club, and enjoy all it has to offer.

To keep you informed, we print a Summer Calendar of Events, which is mailed before the season.  It is available on our website, and is frequently updated.  In addition, we post the week’s events on the blackboard near the Club entrance…be sure to check it weekly.  During the summer we send weekly emails to our members to keep them informed.  Be sure to give us your email address! 

Oakwood is run by its members…we have many committees who make the place tick.  If you would like to help out with time, ideas, elbow grease, or brainstorms, please contact the committee chairs and pitch in!

Membership Rules & Fees

Membership in Oakwood Beach Club is open to the public.  Membership is for all the members of a household; that is defined by us as your family that lives in your home.  Children and grandchildren of members not living in the members’ home,as well as members’ parents, may be included on your membership.  Other household members such as nannies, au pairs, etc. will be charged an additional membership fee of $50 per season.  Membership for first time members is $795.  Membership for returning members is $1200.  Single senior members pay $600.  We have made every effort to hold our membership fees to a reasonable rate, and in fact, we have not had a rate increase in several years. 

Membership dues for your family must be paid IN FULL before any member is permitted entrance to the club.  Bills are sent to each member in February, again in April, and again prior to opening.  Please do not expect to use our facilities until your membership dues are paid.  No one will be permitted into the club if the dues are not paid.

Each member household has a page in our gate books, which contains your names, contact information, and a current photo of each member of your household.  You must check in with the gate guard every time you enter the club. 

If you do not have a current photo on file in the gate book, you may bring photos with you on opening day or on your first visit of the season and we will update your page.  If you prefer, we will take your photograph, and one of each member of your household, for a processing fee of $1.00 per photo.  If you do not either bring your own photos or agree to have one taken by us, you will not be permitted entrance to the club on your second visit, nor until such time as current photos are provided or taken.  This policy is for the safety of our members, our property, and most importantly, our children, and we ask for your help in streamlining this simple requirement.

A member family will be held liable for any damage inflicted on Oakwood property by any member of that family or any guest of the family.  The entire member family will face suspension if any member, their children or children’s spouses, their grandchildren or their guests are caught in any acts of vandalism against Oakwood property. 

Any member or children of members who are found on the premises when the club is closed face suspension.

Any member whose conduct while using the Beach Club is considered detrimental to the welfare of the Club or its members may be suspended as a member for such a period and upon such terms and conditions as the Board of Directors shall determine.

Oakwood is not responsible for any personal possessions brought to the Beach Club by any member or guest.  The staff will not accept any personal property for safekeeping. 

Membership Revocation

Oakwood is a neighborhood pool, and we like to think of ourselves as a family.  However, the Board of Director reserves the right to revoke the membership of any member or member family who repeatedly violates the rules and regulations of Oakwood.  Fair verbal and written warnings will be given prior to any revocation. If the Board determines that membership should be revoked as a result of repeated violations of the rules, no refunds will be granted.

Guest Policies

Guest fees for 2009 are as follows:

Monday through Friday:

Adults: $7  

Children under 15:  $5  (no charge under age 2)

Saturday, Sunday and Holidays:

Adults: $10

Children under 15: $7 (no charge under age 2)

A member in good standing must always accompany daily guests.  No guest will be admitted unless the member is present and remains at the Club.  All guests must sign in at the gate.

Guest fees must be paid for any individual who is not a member, regardless of how the guests intends to use the facilities, or the length of time the guest intends to stay.  The full fee must be paid even if the guest does not plan to swim.

No individual guest may be admitted to the Club more than once per week on weekdays (Monday through Friday).  No individual guest may be admitted to the Club more than one weekend day (Saturday or Sunday) per month.

Guest passes may used (one pass per guest) on any weekday or weekend day except for holidays.  Weekend guest fees will be charged on holidays, even if the holiday falls during the week.

Pool Safety Rules

Our lifeguards are certified and trained in pool safety and lifesaving techniques.  Their job is to safeguard our members and to maintain safe practices in and around the pools, the pool decks, and the beach.  All directions given by the lifeguards must be strictly followed.  The lifeguards report to the Beach Club Manager, who in turn reports to the Board of Directors.  The lifeguards will enforce the rules of Oakwood, as directed by the Manager and the Board.  They are not permitted to discipline children, except to reprimand those who violate safety or other rules.  Children who violate pool rules will be asked to leave the pool.   Parents of children who persist in violating safety rules or exhibit unacceptable behavior will be requested to control or remove their children from the premises.  Lifeguards are not responsible for babysitting or supervising children in the absence of their parents.  Your cooperation in supporting good safety behavior, adherence to Club rules, and consideration of others by your children will be greatly appreciated by the Oakwood family.

ABSOLUTELY no running or rough play around the pool area.

No diving into the pool except in authorized areas.

No ball playing on the pool deck or anywhere except in authorized areas (behind the building only)

Chairs and strollers should not be placed closer than three (3) feet from the pools.

Children under 12 years old must be accompanied at all times by a person over 15 years old.

No pets are allowed

No boating, fishing, or swimming is permitted in the bay off our beach.  No entry to the club from the beach by boat or jet ski is permitted.

No children in diapers are allowed in the adult pool unless a swim diaper is worn with protective rubber pants.  An adult must remain with small children at all times in the pools.

Sneakers, water shoes, or sandals are suggested at all times on the beach.

ABSOLUTELY no glass containers of any kind may be brought into the Club.  Please bring plastic containers or cans, and dispose of them properly.

Pirate Ship and Sand Box – there is ABSOLUTELY no food allowed in or on or around the pirate ship or sand box.  Your child will be asked to leave the play areas if they are eating.  Repeated warnings may result in suspension.  The safety of our children and hygiene of the Club are very important to us and this rule will be strictly enforced. 

Sports Equipment and Basketball Area – Balls and other equipment and games are available for loan at the Lifeguard Office.  A driver’s license must be left when equipment is borrowed and will be returned when the equipment comes back to the office.  We ask that parents cooperate with us and supervise their children’s proper use and timely return of Club equipment so that everyone can enjoy them.  Basketballs may only be used in the rear of the building or as appropriate in the pool.  Please caution your children to be careful and considerate of the many small children, toddlers and babies at Oakwood when using sporting equipment in and around the Club.

First Aid

First aid is available at the Lifeguard Office.  Please report any injuries to the lifeguards on duty or to the Beach Club Manager.  You may be asked to complete an accident report if the injury is serious or requires additional or emergency treatment.

Courtesy Rules

If you bring personal electronic devices to the Club, please use them with consideration.  Do not blast radios, TVs, DVD players or any other devices.  The Club is not responsible for the loss of or damage to any personal property, so if your children bring their iPods or cell phones, please monitor their use and proper storage.

The saving of lounge chairs is prohibited.  Please use consideration.  If you are using a strap lounge chair, please be mindful that we have a limited number of lounge pads available.  The pads are intended for use on the plastic lounges unless the Club is not overly crowded.  Please do not move lounges from where they are placed by the staff.  Tables and umbrellas are available for use; please use them with consideration.

Please supervise your children at all times.  Oakwood is a safe place for kids, with many watchful eyes, but it’s easy to forget that water, deep pools, hard concrete, and sharp edges surround us.  Please be mindful of where your kids are and what they’re doing! 

Inclement Weather Policy

The safety of our members is our first priority.  According to NOAA, if you can hear thunder, you are within striking distance of lightening.  The Beach Club Manager and lifeguards have been instructed to clear the pool and pool deck at the first sound of thunder or first sighting of lightening.  No one will be permitted back in the pool for at least thirty (30) minutes after the last thunderclap or lightening strike.  If the thunder and lightening persist, the Beach Club Manager and lifeguards will direct you to your cars.  The awnings ARE NOT SAFE SHELTERS in a thunder/lightening storm and should not be used as such. 

The decision of the Beach Club Manager under these circumstances is final and we ask that all our members respect Oakwood’s policy and put safety first. 

Complaint Procedures

The Board of Directors, in conjunction with our pool management company, takes pride in hiring caring, qualified staff to supervise our Club.  However, even in the best of settings, sometimes disagreements or disputes may arise, and it is our wish that all such situations be resolved as amicably and fairly as possible.  Your first complaint should always be directed to the Beach Club Manager.  If s/he is unable to assist with a satisfactory resolution, the Board of Directors will take up the complaint.  There is usually at least one board member on the premises, and if that is not the case, we are always available by telephone.  Every effort will be made to address and resolve any complaints.  If appropriate, further action will be determined by the entire Board.

Rental of Facilities

Oakwood’s facilities may be rented for private parties and events.  The rental fee for members is $250.  The rental fee for non-members is $850.  The rental is subject to approval by the Board.  For additional information, please contact a board member. 

 Children’s Parties

Children’s birthday parties may be held at no charge, under the large awning, by special permission only.  This is limited to weekdays only.  All non-member invited guests must pay the appropriate guest fees.  Please contact a board member if you are interested in holding your child’s party at Oakwood. 

 Food Concession

 Our food concession is run by independent contractors.  We are very happy to have the wonderful people from Gino's Restaurant & Pizzeria doing our concession for another season.  A full array of breakfast, lunch and dinner selections are available, along with cappuccino, iced coffee, snacks, ice cream, lots of surprises, and of course, the best pizza in town.  Concession hours are concurrent with the club’s hours of operation.  On our late nights, dinner specials are available, and food not on the beach club menu can also be special ordered for delivery from Gino’s main location.  We hope that all our members will patronize the concession and take full advantage of the great food and very good prices.

 The Bar

 Oakwood runs its own bar for the convenience and enjoyment of our members and their guests.  We hold a NYS Liquor License and abide by the NYS Liquor Authority rules and regulations.  The bar is open on the weekends, selling beer, wine, and cocktails.  The bar is also open on our late weekday evenings. 

 In accordance with NYS Liquor Authority regulations, Oakwood has a strict policy prohibiting members from bringing in their own liquor, wine, or beer.  The only alcoholic beverages on Oakwood property must be purchased from the bar.  Any violation of this policy jeopardizes our Liquor license as well as our insurance, and will not be tolerated.  Any member found bringing in liquor, wine or beer will be asked to leave the premises and will be suspended for one week.  A second violation of the policy will result in suspension of the member and their family for the remainder of the season.  No refunds will be issued for anyone suspended for violating this policy.  We regret that this is necessary, but we must comply with NYS regulations, and we appreciate the cooperation and understanding of our members.
